OTA reconciliation is the process of comparing the hotel reservation that actually occurred with the OTA's financial record and the payment result. The objective is not simply to match two totals. It is to determine whether the hotel collected the correct amount and paid the correct commission after all valid reservation changes.
The final stay is the financial reference point
A booking can change after it was created. Cancellations, no-shows, early departures, shortened stays, rate changes and other modifications can alter the valid room revenue, payable amount or commission base. Reconciliation should follow the supported final outcome.
What gets compared
- PMS completed-stay activity.
- OTA reservation and finance detail.
- Virtual-card or open-balance activity where applicable.
- Commission statements.
- Payment settlement when confirmation is required.
Why a clean month-end is not enough
If the hotel collected less than it should have and posted the amount it actually received correctly, accounting can still close. OTA reconciliation tests the economic relationship that sits underneath the accounting entry.
From reconciliation to recovery
A useful recovery process does more than flag the variance. It proves the amount, assembles the evidence, works the recovery and confirms what actually returned to the hotel.
